Voyager Academy ("we", "us", "our") is committed to protecting your privacy. This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website or booking a session with us, you agree to the practices described below.

Who we are

Voyager Academy is an online tutoring business providing HSC Chemistry, UCAT and medical and dentistry interview preparation across Australia. Our ABN is 18 633 079 376. You can contact us at any time at voyagereducation.au@gmail.com.

Information we collect

We only collect personal information that is reasonably necessary to provide our services. Depending on how you interact with us, this may include:

  • Contact and identity details: your name, email address, phone number, and the name of a parent or guardian where the student is under 18.
  • Booking information: the tutor you selected, the date and time of your session, and any notes you provide when booking.
  • Academic information: details you choose to share about your studies, target universities, exam dates, scores or goals, so we can tailor our tutoring.
  • Billing information: the information needed to issue and reconcile invoices. We do not store full card numbers; payments are processed through your own bank transfer or a third party payment provider.
  • Website usage information: technical data such as your device type, browser, approximate location and pages visited, collected through analytics.
  • Communications: the content of emails, messages and enquiries you send us.

You do not have to give us your personal information. If you choose not to, we may not be able to provide tutoring or respond to your enquiry.

How we use your information

We use your personal information to:

  • arrange, deliver and manage your tutoring sessions;
  • contact you to introduce ourselves after a booking and to send invoices;
  • respond to your enquiries and provide customer support;
  • process payments and keep accurate financial records;
  • improve our website, resources and services; and
  • send you updates or offers about our services, where you have asked to receive them.

We will only send you marketing communications if you have opted in, and every such message includes a simple way to unsubscribe. We do not sell your personal information.

When we share information

We do not disclose your personal information to anyone except where it is necessary to run our business or where the law requires it. This may include sharing information with our tutors so they can deliver your session, with our payment and accounting providers, or with government bodies where we are legally obliged to do so.

Third party services

We rely on trusted third party services to operate. When you book a session, you do so through Google's appointment scheduling tools, and the information you enter is handled under Google's own privacy policy. We also use email, analytics and payment services provided by third parties. We choose providers that take privacy seriously, but their handling of your information is governed by their own policies, which we encourage you to read.

Cookies and analytics

Our website uses cookies and similar technologies to make the site work, remember your preferences, and understand how visitors use our pages. Analytics data is aggregated and helps us improve the site. You can disable cookies in your browser settings, although some parts of the site may not work as well if you do.

Storage and security

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification and disclosure. This includes limiting who can access your information and using secure, password protected systems. No method of transmission or storage is completely secure, so while we work hard to protect your information, we cannot guarantee absolute security.

How long we keep it

We keep your personal information only for as long as we need it to provide our services and to meet our legal and tax obligations. Financial records are generally kept for at least five years, as required by Australian law. When we no longer need your information, we take reasonable steps to securely delete or de-identify it.

Your rights and choices

Under the Australian Privacy Principles you have the right to:

  • Access the personal information we hold about you;
  • Correct information that is inaccurate, out of date or incomplete;
  • Opt out of marketing communications at any time; and
  • Make a complaint if you believe we have mishandled your information.

To make any of these requests, email us at voyagereducation.au@gmail.com. We will respond within a reasonable time, usually within 30 days. There is no charge to access or correct your information.

Privacy of young people

Many of our students are under 18. Where a student is a minor, we ask that a parent or guardian make the booking and provide consent for us to collect and use the student's information. We only collect what we need to deliver tutoring, and we treat young people's information with extra care.

Overseas disclosure

Some of the third party services we use, such as Google and our email and analytics providers, may store data on servers located outside Australia. Where this happens, we take reasonable steps to ensure your information continues to be handled in line with this policy and Australian privacy law.

Data breaches

If a data breach occurs that is likely to result in serious harm, we will assess it promptly and, where required, notify you and the Office of the Australian Information Commissioner (OAIC) in line with the Notifiable Data Breaches scheme.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. The latest version will always be available on this page, with the date it was last updated shown at the top.

Contact and complaints

If you have any questions about this policy, or you would like to access your information or make a complaint, please contact us at voyagereducation.au@gmail.com. We take privacy complaints seriously and will work with you to resolve them. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

This policy should be read together with our terms and conditions.
